What we collect

From an enquiry: your name, phone number, email, a child’s first name, year group, subject interest, and any message you send. If you enrol, the signed agreement also covers the pupil’s date of birth, school, attendance, assessments, tutor notes, fees, emergency contacts, medical notes you give us, and messages about the family. Online lessons add class work, a pupil login where you approve one, join and leave times, and the lesson recording.

Why we use it

To answer an assessment request and arrange a visit (legitimate interests), to provide tuition and take fees if you enrol (contract), and to meet safeguarding and other legal duties (legal obligation). Centre news, photographs, and online-lesson recording are used only with consent, which you can withdraw. We do not sell personal data, and we do not make solely automated decisions that produce legal effects.

Who we share it with

Staff who teach or look after a pupil see what they need. GoCardless and Stripe collect Direct Debit or card details; we do not store the full account number. Email, WhatsApp, hosting, and Daily.co (online rooms and recordings) act on our instructions. Where a provider processes data outside the UK, we use a UK adequacy regulation or the UK International Data Transfer Agreement.

How long we keep it

Enquiry details are kept while we may still need them for admissions, then deleted or anonymised. Fee records may be kept for up to six years after you leave. Safeguarding records are kept as the safeguarding policy requires. Online recordings are deleted after 30 days.

Your rights

Under UK GDPR you can ask for access, correction, erasure, restriction, objection, or a copy of data you provided, where those rights apply. We aim to reply within one month. You can complain to the Information Commissioner’s Office at ico.org.uk.
